Understanding the “Account Document Output” App and Customizing Form Templates

The “Account Document Output” app is a powerful tool designed to streamline the display and printing of debit and credit postings for various general ledger accounts, in compliance with Chinese legal requirements. Here’s a closer look at its functionality and how users can customize the forms to suit their specific needs.

一. What Does the “Account Document Output” App Do?
The main purpose of this app is to provide users with flexibility in displaying and printing accounting documents. It offers three output types: ALV list, PDF preview, and PDF direct printing. This versatility allows users to view accounting documents according to their preferences and needs. Key features of the app include:
a)Output Types: Users can choose between ALV list, PDF preview, and PDF direct printing for viewing accounting vouchers.
b)View Switching: Support for toggling between general ledger view and entry view.
c)Document Type Selection: Provides options for selecting different accounting document types.
d)Batch Printing: On the Cloud, users can set up printer queues and specify default print forms for direct batch printing of accounting documents.
二.Customization options while printing:
PDF Report Title, Accountant Manager, Approver: Users can specify headers and signature lines to appear during voucher printing.
Alternative Account Number: Supports the display of alternative account numbers when printing vouchers.
Batch Input Sorting Field: Users can set the sorting criteria when displaying accounting documents in batches, such as sorting by official voucher number by month.

三.Customizing Form Templates

Open the app “Maintain Form Templates,” and enter “IDCN_ACC_DOC_OM” in the form template name filter. Click the “Download” icon on the details page of the “IDCN_ACC_DOC_OM” form template to download the SAP preset form template. Unzip the downloaded package, open Adobe Live Cycle Designer, and open the file IDCN_ACC_DOC_OM_E.xdp extracted from the package.

  1. If you want to adjust the layout of the preset form by adding a column to display the cost center of the document:

    a. Open the form IDCN_ACC_DOC_OM_E.xdp using Adobe Live Cycle Designer, and add a new field in the form layout.

    b. Switch to the Data View tab in Adobe Live Cycle Designer, and drag the Ktosl field into the highlighted area for the cost center column, as shown in the screenshot below.

  2. For fixed asset documents, if you want the “Details” column to show the account/asset master data description instead of just the fixed asset number during printing:

    a. Open the form IDCN_ACC_DOC_OM_E.xdp using Adobe LiveCycle Designer. Double-click the cell where you want to add or modify the script to open the script editor.
    In this example, double-click the highlighted “Details” column in yellow; the upper half of the window will show the script editor.

    b. Modify the existing script code by adding the code highlighted in yellow. The goal is to display the account description in addition to the account number and asset number when the account type of the line item is a fixed asset.
    (In this example, only the form that displays in the company currency and is a non-alternative account is modified.)

    Reopen the “Maintain Form Templates” app, switch to the “Custom Templates” tab, and click the “Create” icon. In the pop-up window, enter the following information:

  • Form Template Name: Maintain the form template name according to your company’s naming conventions.
  • Language: If the downloaded preset form template is in English, select “English” here; otherwise, choose accordingly.
  • Select Form Template File: Choose the xdp file updated in Adobe Live Cycle Designer.
  • Data Source: Choose the Chinese accounting document print data source “FDP_IDCN_ACC_DOC_SRV.”

On the next screen, in the “Available Countries” field, select “China.” If there is a translated Chinese version of the template later, you can click “New Translation” to upload the customized Chinese xdp document. Then click “Save” to save your customized template.
