When a customer implements SAP S/4HANA Cloud Public Edition the first step is the scoping of the Starter System. The Starter System is designed to support the Fit-to-Standard workshops during the Explore phase. After the workshops are completed, the customer activates the Development system. To be able to use the Starter system and execute the Fit-to-Standard workshops, Scope Items must be activated. This process is called scoping and is always due at the start of each Explore phase.
To do this, you will likely use the Digital Discovery Assessment (DDA) as a help. The DDA is a tool that is used in the pre-sales and planning phase and together with the customer, all Scope Items that should be activated for the Starter System are selected based on the licenses that the customer has purchased. At the end, you can create a download of this Scope list in the DDA tool to then upload it into the SAP Central Business Configuration (CBC) for the Scope Item activation.
This approach is the most effective way of activating Scope Items. Alternatively, Scope Items can be activated individually in the CBC, but this would be more time-consuming.
Challenge
During the explore phase and the Fit-to-Standard workshops, it is often the case that further Scope Items are activated gradually in the CBC, whereas others are are not required anymore for the Development System. As a result, the original DDA is outdated and no longer reflects the current scope so that it can no longer be uploaded for the Development System.
The alternatives would either be to adjust again the DDA by analyzing the delta and then make a new download file or to select the Scope Items for Development System individually in the CBC.
Solution
We have now found a different solution to this problem. The CBC allows you to download all activated scope items. However, you cannot change this download and then upload it again with the new Scope as it is a PDF file. But what is possible instead is that you can adjust the existing DDA download and add or delete Scope Items in this file. After it you can then upload the new DDA file in the CBC for the Development System. This gives you a synchronized DDA that accurately mirrors what is actually in the system.
Step-by-Step Guide
Export the current Scope Item list from CBC Open the workspace for the Starter System in the CBC, navigate to your selected Scope and use the download function. This PDF download now contains all Scope Items that are activated for the Starter System. (The download also contains those that are no longer needed because once a Scope Item is activated and deployed, it can no longer be deleted in the CBC).
Consolidate the Scope Items for the Development System as Part of the Explore Phase Collect all Scope Items from the Business Areas. You can use the CBC download file as help to work through this list with the consultants and LoBs in order to then create an Excel file with all Scope Items that should be used for the Development System. This is part of the roadmap for completing the Explore phase in an implementation project.
Reconstruct the DDA file with the new content Now open a DDA file (preferably your original DDA file from the Starter System) with a JSON editor. Copy the string with the Scope Items into an Excel file. You will then realize that all Scope Items listed start with an “SC_X4_” followed by the Scope Item. After it, prepare your Excel to match the string from the DDA.
Important: Only the entries that begin with SC_X4 should be processed. Everything else must remain the same in the string. Add this stage you can add all new Scope Items that should be included going forward, or remove any that are no longer relevant. Once you created a new string in the Excel file you can copy and paste it into the DDA JSON File.
Upload the new reconstructed DDA file You can you use the new JSON File and upload it into the CBC for you Development System. Cross check the Scope Items (especially the newly added or deleted Scope Items) before you deploy your Workspace.
