Introduction
When a mass change of your master data, for example Business Partner or Product data, has been performed, it can be quite overwhelming when you would like to go through all the changes. Until now, the export of changes worked only on a single object.
In a mass process touching hundreds or thousands of objects, that resulted in clicking through every single object and downloading a separate file. Getting all the changes of a process in one file was simply not possible.
The problem with exporting one object at a time
The Track Changes app already made it easy to see what happened during activation. But when it came to getting that information out of the system, the export was limited to the change documents of one object at a time.
For a mass process, this had a few consequences:
- To get all the changes of a process, users had to open each object individually and export the changes separately.
- For large volumes this was slow and error-prone.
What’s new: select a process and get a single file
The Export app has been extended so that change documents can now be exported for an entire process. Instead of exporting object by object, the user selects a process and receives one file containing the change documents of all objects that were changed in that process.
What it does:
- Exports the change documents of all objects belonging to a single process, identified by its Process ID.
- Works alongside the export of active data: exports only active data, only change documents, or both.
- Offers the option to include descriptions (table and field names) or not, to trade completeness for performance.
Two new options in the Export app
Two new checkboxes were added to the Export app:
- “Export Change Documents” – when selected, the change documents for the specified process are included in the export.
- “Include Descriptions” – controls whether table and field descriptions are added to the file.
The “Include Descriptions” option exists for a good reason. Exporting the descriptions for every table and field adds processing effort and increases the file size. If the user only needs the changes and can live without the readable table and field names, descriptions can be switched off to get the file faster.
How the changes appear in the file
- For Excel exports, the changes are collected in a dedicated sheet called “! Changes !”:
- For CSV exports, the result is a ZIP archive containing a file named “_Changes.csv” that holds the change documents.
Get there in one click: Navigation with prefilled parameters
To avoid the manual selection of filters, the Export app can be opened directly from the places where users are already working:
- From the master data process object page (after the activation step), the Export app can be opened directly for that process by clicking “Export Change Documents”:
- From the Track Changes app, when looking for the changed objects of a process, the option “Export Change Documents by Process ID” becomes selectable. Clicking it navigates to the Export app with the Process ID and checkboxes prefilled:
